Fiscal Assistant/Court Support Staff

Miami County Municipal Court - Troy, OH - Full Time

POSITION SUMMARY: Reports to the Court Administrator and is responsible for providing clerical support and services for the Municipal Court Services Department by performing the following duties;

Correspondence, collecting and processing data and file maintenance using word processing and data entry programs. Prepare and maintain files on people under community-based restitution sentences by updating information in the court management software. Accurately calculating fees and docketing court restitution entries. Responsible for assisting in the organization of all incoming and outgoing mail and to assists with special projects or other duties as assigned. Assists the Deputy Court Administrator / Fiscal Officer with office supply inventory and ordering of supplies for the Court, preparing and/or processing accounts payable vouchers for court approved purchases and for restitution payouts to victims. Prepare end of month revenue reports. Assist with the preparation of Travel/Training requisition forms, register personnel for training and assist in making hotel reservations. Preparation of payroll, and daily deposit. Keep record of assigned court appointed counsel and manage the line item expenses on the budget for the Court. Assists with end of year close out by liquidating/obligating ending year purchase orders and requesting the following year purchase orders, and perform any other duties requested by the Court Administrator and Fiscal Officer.

QUALIFICATIONS: Knowledge of clerical functions in order to maintain the operating procedures of the Municipal Court Services Department. High School diploma with training in clerical, secretarial, word processing, and data entry computer skills. Office experience of 6-12 months in order to keep records, process legal documents and manage Court programs. Must possess good organizational and interpersonal skills necessary to communicate effectively with employees, offenders and the general public when dealing with sensitive and confidential issues. Must have a valid Ohio driver’s license and pass a background check. Must meet all job safety requirements and all applicable OSHA safety standards that pertain to the essential functions of this position. Must possess knowledge of large budget and fiscal operations.

DUTIES:  
1. Correspondence, collecting and processing data and file maintenance using word processing and data entry programs

2. Prepare and maintain files on people under community-based restitution sentences by updating information in court management software.
3. Completing intakes of new probationers by initiating all necessary paperwork.
4. Accurately calculating fees and docketing court restitution entries.
5. Track and inform defendants of the Court requirements relating to their conditional release, such as the standard conditions of Probation / Community Control, Restitution, Community Service, Diversion, Probation fees, Court fines and costs payments, or any counseling requirement.
6. Typing Restitution entries and setting Show Cause Hearings.
7. Organizing written documents, records and reports.
8. Cooperating with other Probation and Parole agencies, community agencies, correctional institutions, psychiatric, drug and alcohol recovery facilities and after-care agencies in order to assist the Court in helping offenders with life adjustments.
9. Adhering to the department’s confidentiality policy and procedures and to the release of sensitive information.
10. Providing the Court with support by answering phone calls, explaining Court policy and utilizing problem-solving techniques regarding difficult questions and concerns.
11. Responsible for assisting organization of all incoming and outgoing mail and to assists with special projects or other duties as assigned.
12. Assist Deputy Court Administrator / Fiscal Officer with office supply inventory and ordering of supplies for the Court.
13. Assist Deputy Court Administrator / Fiscal Officer with preparing and/or processing Accounts Payable vouchers for Court approved purchases and for Restitution payouts to Victims.
14. Prepare End of Month Revenues reports for the Court Administrator and Deputy Court Administrator / Fiscal Officer.
15. Assist with the preparation of Travel/Training requisition forms, registering personnel for training and assist in making hotel reservations.
16. Preparation of payroll in Deputy Court Administrator / Fiscal Officer’s absence.
17. Assist Deputy Court Administrator / Fiscal Officer with audits of personnel files and with State audits.
18. Preparation of daily deposit in the Deputy Court Administrator / Fiscal Officer’s absence.
19. Keep record of assigned court appointed counsel and manage the line item expenses on the budget for the Court.
20. Assist Deputy Court Administrator / Fiscal Officer’s with the end of year close out by liquidating/obligating ending year purchase orders and requesting next year purchase orders.
21. Perform any other duties requested by the Deputy Court Administrator / Fiscal Officer and assist personnel in her absence.
